Allocio is an event scheduling system used by organisers to collect session preferences and create fair allocations. The event organiser who runs the system is the data controller and is responsible for how your information is used.

We only collect the information needed to run the event. This usually includes your name, your email address, ticket order number and the session preferences you choose. If the organiser adds extra fields, these will be shown clearly before you submit anything.

How your information is used

Your information is used only to create accurate and fair session allocations and to send you your personalised schedule. It is not used for advertising or analytics and it is not used for anything unrelated to the event.

Lawful basis for processing

Your information is processed under the lawful basis of legitimate interests. The organiser needs this information to run the event effectively and to allocate sessions fairly. You always have the right to object to this processing.

Who can see your information

Your information stays inside Allocio. It is not shared with third parties and it is not transferred outside the system. Only the event organisers who manage the event can view the data you submit and they can only use it for the event you are taking part in.

How your information is stored

All data is stored securely on the server that hosts Allocio. Access is limited to authorised administrators. We take care to protect your information from loss, misuse or unauthorised access.

How long your information is kept

Your information is kept only for as long as the organiser needs it to run the event. Once the event is complete and the data is no longer required, it will be removed from the system.

Your rights under UK GDPR

You have the right to access the information held about you. You can ask for corrections if anything is inaccurate. You can request that your information is removed. You can also object to how your information is being used. These requests can be made through the event organiser.
